  • Q: How old do I have to be to hire a car or van?

    A: If you would like to hire a vehicle and wish to use our insurance cover then you must be between 21 and 70 years of age, and have held a full UK drivers licence for a minimum of 2 years.

    If you are younger than 25 or older than 70 and a) have your own fully comprehensive insurance and b) can have our interest noted on the policy and c) can provide a cover note covering the specific registration number of our vehicle, then we can hire to you, providing you have held a full clean UK driving licence for two years or more.

  • Q: What types of vehicle can I drive on a standard licence?

    A: If you hold a full UK Drivers Licence that was issued before the 1st January 1997 you should be entitled to drive any vehicle up to 7.5t in Gross Vehicle Weight (providing not for hire or reward) and any minibus with up to and including a total of 17 seats. If you hold a full UK Drivers Licence that was issued after 1st January 1997 then, unless you have taken an additional test, you will only be entitled to drive a vehicle up to 3.5t Gross Vehicle Weight. This does include vehicles such as a Luton box van with a tail lift, which is commonly used for moving house (again, providing not for hire or reward) but excludes any minibus with a total of over 9 seats, unless your Drivers Licence specifies the D1 category on it.

    If the minibus is not for ‘hire or reward’

    You might be able to drive a minibus with up to 16 passenger seats using your current car driving licence as long as there’s no payment from or on behalf of the passengers (it’s not for ‘hire or reward’).

    Conditions for Driving a 17 seat (up to 16 passengers) Mini Bus:

    If the minibus is not for ‘hire or reward’

    You might be able to drive a minibus with up to 16 passenger seats using your current car driving licence as long as there’s no payment from or on behalf of the passengers (it’s not for ‘hire or reward’).

    Conditions you must meet

    • you’re 21 or older
    • you’ve had your driving licence for at least 2 years
    • you meet the ‘Group 2’ medical standards if you’re over 70 – check with your GP if you’re not sure you meet the standards
    • you’re driving on a voluntary basis and the minibus is used for social purposes by a non-commercial body
    • the maximum weight of the minibus is not more than 3.5 tonnes – or 4.25 tonnes including specialist equipment for disabled passengers, eg a wheelchair ramp
    • you’re not towing a trailer
  • Q: What deposit must be paid for my hire?

    A: A deposit is payable by credit or debit card at the prior to taking the vehicle on hire. This varies depending on the type of vehicle hired and is to cover our insurance policy excess. The deposit is fully refundable upon safe and undamaged return of the vehicle. Deposits vary Depending on the period of hire and size of vehicle, but generally as below:

    £250.00 is payable if you are hiring up to a medium size car (Ford Focus or equivalent) or a van up to and including a short wheel base.

    £350.00 is payable if you are hiring a van that is larger than a short wheel base or for a car above medium size.

  • Q: What documents must I bring when I collect the vehicle from Arc Vehicle Rental?

    A: When taking collection of your hire vehicle you need to bring with you the following:

    Drivers Licence: All persons must produce a FULL valid UK Drivers Licence which they must have held for at least two years. It is the hirer’s responsibility to ensure that they have the correct licence. We are unable to accept any licence that is not in English. A Drivers Licence must be an original, a photocopy will NOT be accepted.

    With effect from 8th June 2015, the paper part of the UK Drivers Licence is no longer accepted. If you wish to hire a vehicle from us using our insurance you will need to log on to www.gov.uk/view-driving-licence, enter your Drivers Licence Number, National Insurance Number and Post Code in order to generate a check code. This check code will allow us to view the paper counterpart of your Drivers Licence online so that we can check for any endorsements which might prevent us from hiring a vehicle to you. We recommend that you generate your check code shortly before your hire is due to commence as it is only valid for a maximum of THREE (3) weeks. On the day you commence your hire from Arc Vehicle Rental, please ensure you bring with you both your UK Photo Card Drivers Licence, the check code you generated as well as two other forms of ID as detailed below.

    Identification: 

    All UK residents must be able to produce either a valid passport and ONE recent utility bill, or TWO recent utility bills, or ONE utility bill plus ONE recent bank statement, together with a valid credit, switch or debit card in the name of the main hirer.

    Any additional drivers must be present at the time of hiring and must be able to produce a full valid UK Drivers Licence conforming to the above criteria.
    Your home address must be within a 30-mile radius of an Arc Vehicle Rental Depot you wish to hire from, supported by the relevant documentation to verify this.

  • Q: How old are your vehicles?

    A: At Arc we pride ourselves in the quality and standard of vehicles provided to our customers. Our fleet is changed on a regular cycle and all our vehicles are generally under 3 years old with most being under 18 months old.

  • Q: How often are your vehicles serviced?

    A: All vehicles are serviced strictly in accordance with the manufacturer’s service schedule by our highly skilled technicians and at our own state of the art workshops. Vehicles are  cleaned before each rental commences to ensure that you receive your hire vehicle in a good condition.

  • Q: If I have endorsements on my licence can I still hire a vehicle?

    A: This all depends on how many points you have and what offence they are for. Our Rental Team at your local Arc depot will be able to assist you with this in advance of you coming in to collect the vehicle.

  • Can an additional driver be added to a hire?

    A: We can add additional drivers to any hire agreement (subject to our driver criteria above) at a cost of £20.00 per driver per week or £5.00 per driver per day for hires of less than 7 days. Any additional drivers that you need adding to a hire agreement must be present at the time of hiring and are subject to the same restrictions as the main driver. Charges for additional drivers are payable at the time of hire. Each additional driver is also responsible as hirer under the terms of our contract and will need to sign our rental agreement.

  • Q: Do you guarantee a specific model of vehicle?

    A: Arc Vehicle Rental is independent of any vehicle manufacturer or dealer network so we have a range of vehicle makes and models. The vehicles shown on this web site are typical of the most common vehicles that we hire. We regret that we are not able to guarantee a specific make and model, only the group of that model vehicle. If we cannot supply the size of vehicle requested we will do our utmost to supply you with another suitable vehicle for the same cost, providing you have the licence to drive.

  • Q: Do you provide breakdown cover?

    A: We provide full 24-hour breakdown cover 365 days a year. In the unlikely event that you should breakdown, simply telephone the number on the breakdown card sticker provided in the vehicle. A charge will be levied for any negligent call outs (including but not limited to punctures and windscreen repairs / replacements, running out of fuel etc).

  • Q: What should I do if the vehicle is involved in an accident?

    A: In the event of our vehicle being involved in an accident, there are several things that you need to do:

    • Get full details of the other party and their vehicle.
    • Contact your local Arc Vehicle Rental Depot immediately, (number on sticker inside vehicle).
    • Complete an Accident claim form and return it to your Arc Depot where you hired the vehicle from.
    • You need to perform the above actions as soon as possible after the accident to avoid any complications with your claim.
  • Q: Do you have any cleaning charges?

    A: At Arc Vehicle Rental we pride ourselves in the condition and quality of vehicles supplied to our customers. We do not normally charge for cleaning the vehicle on return, however in rare an exceptional circumstance a cleaning charge will be levied in the case of negligent abuse, such as smoking, excess rubble, dirt, rubbish or if a pet has been carried in the vehicle.

    If in doubt you what you can carry in the vehicle you should contact our Rental staff prior to your hire period commencing. Under no circumstances is smoking allowed or any items or any waste or rubbish should be left in the vehicle or disposed of at an Arc Depot.

    A charge of up £250 + VAT could be levied to fumigate, clean or dispose of any non-hazardous material or equipment left in the vehicle.

  • Q: Can I take the Vehicle abroad?

    A: We are sorry but our insurance only covers the vehicle for use in the mainland UK. Under no circumstances may an Arc vehicle be taken out of the UK without the express written permission from ourselves. Vehicles are not covered for breakdowns etc abroad.

FREQUENTLY ASKED QUESTIONS - HIRER LIABILITIES

  • Q: What is your policy on parking offences?

    A: Should a parking charge not be paid by the hirer of the vehicle and we have to pay the charge, our standard administration fee of £35 will be added to the parking charge and debited from the hirer of the vehicle.

  • Q: What is your policy on bus lane offences?

    A: If you enter a bus lane and we are notified of a bus lane contravention charge we will settle the charge, add our standard administration fee of £35 will be added to the contravention charge and debited from the hirer of the vehicle.

  • Q: What else is the hirer responsible/liable for?

    A: You are responsible for all daily checks; tyre pressures, engine oils, windscreen washer fluid, lights etc. You are fully liable for any windscreen, glass, wheel or radiator damage, and any punctures.

  • Q: What is the insurance excess liability on the vehicle?

    A: There is an insurance excess liability on all hire vehicles of £500, which is taken in the form of a deposit. We will take a credit card deduction and ask that you give authorisation. In the unlikely event of an accident, we will retain the appropriate amount, otherwise it will be returned to you on return of our vehicle.

  • Q: I have received a warning letter through Arc Vehicle Rental from Ask MID. What do I do?

    A: If you are hiring a vehicle from us and you are using your own insurance you are required to list the vehicle on the MID (Motor Insurance Database). If you receive an Ask MID warning letter, it means you have not listed the vehicle on the MID. The letter allows you a period of time to add the vehicle to the database before a fine is sent out. Any fine we receive will be passed on to you plus our standard admin fee of £35. This must be paid within 7 days.
